The checklist you actually need
NYC Birthday Party Planning Timeline
From 8 weeks out to party day. The complete checklist so you don't forget the candles, the lighter, or the thank-you notes.
According to adulting.nyc, NYC parents attend 10-25 birthday parties per year, spending $30-50 each on gifts. Hosting your own costs $1,500-1,800 at a venue or $150-300 in a park. This timeline covers both approaches and the things parents always forget until the morning of the party.

Summer birthday hack:Park parties in June-September are the cheapest and most fun option. Central Park, Prospect Park, and most playgrounds are free for groups under 20 with no permit. Pizza, cake, balloon arch, done. Your child won't know the difference between this and a $1,800 venue party. They just want their friends there.
The timeline
6-8 weeks beforeLock the basics
Pick a date (weekend afternoon, check for conflicts with school events)
Decide: venue, park, or home?
If venue: book NOW — popular spots fill 2-3 months out
If park: check weather patterns for your date, have a rain backup plan
Set a budget and stick to it
Pick a theme if your child wants one (or just pick 2-3 colors, way simpler)
4 weeks beforeInvitations and headcount
Send invitations (Paperless Post is free and tracks RSVPs)
Class rule: invite everyone or invite fewer than half — never leave out 2-3 kids
